Position

Reporting directly to the Controller and indirectly to the Senior Management team, the Procurement Clerk supports daytoday procurement activities by reviewing purchase orders for compliance, administering vendor agreements, assisting with process improvements, and reinforcing accountability in purchasing activities.

This position is based in Esterhazy, Saskatchewan and offers a modified work arrangement:

  • Monday to Thursday: 9-hour days
  • Friday: 8-hour day, with every second Friday off

Job Duties and Responsibilities

  1. Purchase Order and Procurement Administration
  • Review purchase orders (POs) for accuracy, completeness, compliance with company procurement policies, approval requirements, and established best practices.
  • Ensure all POs are supported by appropriate documentation prior to processing and maintain organized, auditable records.
  • Identify discrepancies, missing information, or non‑compliant purchasing activity and escalate issues as required.


2. Vendor and Subcontractor Administration

  • Support vendor and subcontractor setup by ensuring required documentation, terms, and compliance information are obtained, recorded, and maintained.
  • Assist with the administration of vendor and subcontractor agreements, including tracking documentation, renewals, and compliance requirements.
  • Maintain accurate vendor records and support the resolution of purchase order, invoice, and documentation discrepancies.
  • Build and maintain strong vendor relationships while supporting preferred vendor selection and collaborating with management to assess risk, quality, and contractual obligations.

3. Procurement Process, Reporting, and Continuous Improvement

  • Support the procurement process by following established procedures, internal controls, and documentation standards, while providing guidance to internal teams as required.
  • Work collaboratively with project managers, site supervisors, and finance staff to ensure procurement requests are complete, accurate, and compliant with company policies and best practices.
  • Monitor purchasing activity, flag unauthorized or off‑policy purchases for management review, and assist with tracking vendor usage, performance, and procurement activity trends.
  • Prepare procurement‑related reports and summaries for management, support continuous improvement initiatives, and assist with updates to procurement documentation, procedures, training, and system enhancements.

Qualifications:

  • Proficient in Microsoft Office Suite and comfortable working within computerized systems and databases.
  • Requires strong attention to detail with the ability to accurately review documentation, follow procedures, and maintain organized records.
  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast‑paced environment.
  • Strong written and verbal communication skills, with the ability to interact professionally with internal teams and external parties.
  • Demonstrated ability to work collaboratively while also managing responsibilities independently.
  • Adaptable, dependable, and open to continuous improvement, training, and system enhancements.
  • Demonstrates a positive attitude and harmonious work environment
